Build and maintain the knowledge base
The knowledge base holds what Cuevr knows about your company. This chapter shows how to enrich it, keep it reliable and check how complete it is.

Understand the three sections
The knowledge base holds your company’s reusable information. It provides context for qualification, writing and the analysis of proposals. Each organization has its own knowledge base.
| Section | What to make explicit in it |
|---|---|
| Identity | Who you are, your value proposition, what sets you apart. |
| Offer | Your services, how you deliver them, your methodologies. |
| Proof | Your clients, results, testimonials, certifications. |
Each section is written like a free-form document, saved as you type. The right-hand panel brings together the Knowledge base status, the Analyze the knowledge base and Enrich from files / website buttons, the list of Sections and the Analyzed sources history.

Add information
- Open Knowledge base.
- Write directly in a section, or click Enrich from files / website. The Company name is shown read-only: it is changed in Brand & identity, Information tab.
- Choose the tab:
- Website: enter the Website URL, then Extract the content. Cuevr reads the main public pages of your website.
- Files: drag and drop or select your files, then Upload. Accepted formats:
.txt,.md,.pdfand.docx.
- Cuevr extracts the content, adds it to the sections, then analyzes the knowledge base. Keep the window open during extraction.
- Check Analyzed sources to find every website, file or batch of answers that has been processed, with its status (In progress, Analyzed or Failed).
- Review the text added to the three sections and correct it if needed.
File limits: up to 15 files per upload, 10 MB per file. An empty, unreadable or oversized file is rejected, and its name is shown.

Settle contradictions
A new source does not silently overwrite existing information. When a website or a file contradicts your knowledge base, Cuevr places a To settle card right under the passage concerned. It shows Your base and the new value, and offers three choices:
- Keep the existing one: the knowledge base does not change.
- Take the new one: the passage is replaced by the new value.
- Edit: the cursor moves to the passage so that you can write the right version.
Points that are still open are also listed at the bottom of the section under To settle. If the quoted passage has disappeared from the section, the card shows Passage not found: copy the value and place it in the right spot.
Fill the gaps
- Click Analyze the knowledge base. Cuevr first merges your pending answers, then analyzes the three sections.
- Each section gets a status of Complete, Partial or Insufficient. The panel summarizes the status of the knowledge base. Outdated indicates an analysis that new content has overtaken.
- Under Recommendations, each question is placed next to the item it targets. Answer in one or two sentences in Your answer, then Save.
- Your answers are kept pending and merged into the knowledge base at the next analysis. Run the analysis again after your changes.
The Analyze the knowledge base button stays greyed out as long as nothing has changed since the last analysis.
Expected result: a knowledge base reviewed by the team, with identifiable sources and settled contradictions. A Complete status does not guarantee that every fact is accurate or that it fits every prospect.
Rights and access
- Owner and admins: edit the sections, answer recommendations, enrich the knowledge base, run the analysis and settle contradictions.
- Members: view the knowledge base, its statuses, its recommendations and its sources, but cannot edit it.
- Guests: have no access to the knowledge base.
When your organization’s trial or subscription has ended, the knowledge base can still be viewed but your changes are no longer saved (see chapter 13).
When something fails
| Situation | What to do |
|---|---|
| “Failed to extract the content. Please try again.” | Check the address or the file, then run the extraction again. |
| “Some analyses failed. You can run the failed analyses again.” | Click Run the analysis again in the window. |
| “Cuevr could not analyze this section.” | Click Analyze the knowledge base again; the previous result stays displayed in the meantime. |
| “Cuevr could not merge your answers. They are still saved and will be picked up by the next analysis.” | Run the analysis again a little later; your answers are not lost. |
| A source shows Failed in Analyzed sources | This source did not feed the sections: run the extraction again. |
| Your monthly Cuevr AI credits are used up | You can keep writing in the sections yourself (see chapter 13). |
